4/19/2007    -   PROMIS Update 4-19-2007

New features

  1. Firefox compatibility! PROMIS is now compatible with the Firefox web browser.
  2. On the Mental Health form, the field 'Average Total Hours Per Operating Month a Mental Health Professional Spends on Site' should only be shown if the staff position =Mental Health Professional; otherwise hide this line.
  3. When a user removes a Holiday/No Class date from the picklist, a message will prompt the user whether to restore the removed date(s).
  4. On Holiday/No Class days, use this organizational unit as the owner for the class day (as well as the org. units affected)
  5. On PROMIS forms, all 'Select' and Quicklist drop-down boxes have been consolidated into one line.
  6. On Duplicate Attendance records screen, user can click on column heading to sort by Name, Class Name, Attendance Date. and Attendance.
  7. Added "Update Income Calculations" into data doctor. This will re-calculate family income percentages, based on poverty guidelines (if changes are made).
  8. Organizational Structure page will load much faster.
  9. Faster PIR view result loading.
  10. New Oral Health screen (clickable mouth picture).


Corrected bugs:
  1. Corrected volunteer timesheet. Default pay rate will now appear correctly on the form.
  2. Error message generated when user clicks ‘Add New’ User Group.
  3. Adjusted the PIR Results Screen so that:
    A15 (a) says November 2006 or selected month
    A15 (b) says February 2007 or selected month
    A15 (c) says April 2007 or selected month

4/19/2007    -   2007 PROMIS and HSFIS Regional Workshop Schedule released!!

Every year Cleverex receives requests from Head Start programs for a Local Training and Workshop. Programs are looking for ways to save money and benefit from continued professional development. The HSFIS and PROMIS Regional Workshops are an excellent opportunity for Head Start programs to learn about the most recent enhancements to HSFIS and/or PROMIS. We view these workshops as the best way to understand how to most efficiently utilize HSFIS and/or PROMIS to more effectively operate a Head Start Program. New features

  1. Family Application:
    Added radio buttons to allow creating of new application based on copy of old application:
    () Create New Application Based on [ |v] =>list of old application dates
    () Create New Blank Application

    [ ] Set all older applications to 'Read-Only'

  2. Report Filter Descriptions:
    If a class is selected, the filter description on the report will show the entire location name, i.e. if Class 1 is checked, the report will display Center A - Class 1).
  3. In General Family Information – changed means of transportation (primary and secondary) to appear directly AFTER the question: “Family currently has means of transportation.” If the answer is YES, then display choices for Primary and Secondary. If the answer is NO or n/a, then HIDE the choices for Primary and Secondary
  4. If Public Assistance/Welfare is NOT checked, then hide questions: Date family began receiving Public Assistance and Scheduled Termination
  5. If ’No Services Received’ box is checked, then gray out all other service boxes (WIC, Foster Care, etc.)
  6. For 'Applicant Currently Pregnant', if No is selected, the Due Date and the Provider information should not be accessible for data entry.
  7. Staff Certifications - new section within the Staff form, along with new picklist to add custom certifications.
  8. Staff Emergency contact form for tracking emergency contacts for staff members.
  9. Added a checkbox titled "Enrolled" to the filter, in the Status box, under Status: When checked, this box will check (and grey out) all enrollment status boxes (1st, 2nd, etc.)
  10. Two new links appear at bottom af Volunteer Results page: Activate all checked Volunteers, and Deactivate all checked Volunteers. This will check/uncheck the "Active Volunteer" box in the Volunteer Info form.
  11. Added “Staff Termination Reason” to picklist files and PIR Data Mapping


Corrected bugs:
  1. Security bug allowing users with read-only access to see 'Trash Can' icon in Services section of Disabilities Services (but not in Family Development->Services), and see 'Trash Can' icon in Medical Tests.
  2. When users select only a classroom in the report filter, is it possible for the report description to also show the center name? Several centers can have a class named Class 1, so adding the Center name would allow agencies to tell the classes apart (i.e. Center A - Class 1, Center B - Class 1).
  3. The incomes on the reports will need to be calculated using the PG which was effective at the date of the income. (i.e. if income date = 9/5/2006, report will use 2006 PG, if income date is 2/1/207, report will use 2007 PG values).
  4. Create new application: Copy of application was not prompting the user for a new application date and owner, it was copying the existing date, owner, and ownership level. This has been corrected.
  5. Updated logic for PIR questions A25, A25a, A25b.

Program Enrollment:
-Added "Go To Attendance" icon (little house) next to green Transfer icon on the Program Enrollment form. This link will take you to the child's attendance form.

Involved Adults/Emergency contacts:
-Added a field to the involved adults/emergency contacts form for Extension (just like the field under Occupational History->Employment.)

ASDT Directory:
-Under the Filter link is a new button: 'Search By Report'. After making your filter selections, you will be able to generate a report containing all ASDT items which fit your filter selections.

Letters:
-Ability to print multiple letters as a single PDF (one letter per page).

Quick Reports:
-Added the Family ID field to the list of possible fields.

Organizational Structure:
-Unit type 'Group' to be removed from Class/Caseload/Group picklist.

System Setting - Volunteer:
-Corrected System Setting - Volunteer Fringe rate to allow decimal places (i.e. 19.05%).

Standard Picklists:
-Moved Health Test picklist to 'Common' module and prompts user below the Picklist Files box: "This picklist is used on Staff Health and Volunteers Health screen."

Class Session Management:
-Added a feature to pop up a 'Saved successfully' message after saving on 'Create New Session' and 'End Session' screens.

Updated Reports:

  1. Licensed CACFP Class Meal Information - meals will only be displayed if that meal has been checked off on the Center Licensing form (found under Organizational Structure->Center->Details).
  2. Children without Oral Health History Within Date Range - Corrected logon parameter error, cleaned up text and report formatting.
  3. Child Developmental - Screening/Assessment – Without – Adjusted Latest date formula to suppress if = 1/1/1900.
  4. Average Enrolled Attendance - Individuals Totals – Added column for scheduled absences, cleaned up report formatting.
  5. Folder Label – adjusted formatting so labels would print onto 5160 labels correctly.
  6. Families Search Results Listing – Added distinct counts of people and families returned (in addition to normal count of records returned).
  7. Enrolled Per Center – Moved filter description to new header, since it was being cut-off.
  8. CCI Child Health Summary by Class- With Enrollment Calculation – Corrected Oral sub-report to show oral treatment/need.
  9. Child Health Summary - Condensed With Enrollment Calculation – Corrected blood count and lead score displays.
  10. Family Income Calculations – Added Child Name column, and changed report sorting to child name, instead of HOH name.
  11. Over Income - Eligibility Income (No TANF, SSI, or Foster Child) - Moved filter description to new header, since it was being cut-off.
  12. Over Income By Location - Eligibility Income and Identified Disabilities – corrected error causing previous version to not pull PG values correctly, resulting in a blank report.
  13. Current and Enrollment Age (in Years and Months) – Added Center totals to Center grouping on report.
  14. Individualized Family Partnership Agreement – Corrected @EstablishedBy formula:


New Reports:
  • Current and Enrollment Age (in Years and Months).
  • Volunteer Timesheet - Individual/Service Type Totals Families Search Results Listing – By Center and Class (BrowserListCC.rpt) – Same as Families Search Results Listing, but grouped by Center and Class.
  • Monthly Report – Head Start – this is the original Monthly Report (monrpt.rpt),renamed, since it is configured for HS. Original report will be removed.
  • Monthly Report – EHS – this is the new version, with the formula reset to look only at Early Head Start.


Corrected bugs:
  1. Bug in Event: Staff Training- Next Due Date will now populate all participant forms.
  2. Medical Test Task - Added a dropdown list named "Medical Test Type" on Task form, to allow you to link tasks to specific medical tests. Previously, the tasks were only linked to the test by date.
  3. Medical Test Forms- Added person's name and FID to the print-friendly versions of the forms.
  4. Data Doctor - Only Admin account and users in the System Administrator group can see: 'Retrieve Families Whose Owner Org Unit Deleted' and 'Retrieve Staff Records Whose Owner Org Unit Has Been Deleted'
  5. .PIR C26a and b - Corrected counting error.
  6. View PIR in PDF - removed 'extra' generated pages.
  7. Immunization Schedule Update utility - Correctly refreshes the new immunization schedule assigned to a child.
  8. Immunization Summary: Now if user presses [Tab] or [Enter] key, the cursor will move to the next box and not cause PROMIS to save. Only clicking the [Save] button will save data.

12/11/2006    -   PROMIS Update 12-11-2006

The 'auto-end' checkbox has been fully restore, and will appear no matter how the new start date is entered (12/22/2006 or 122206, for example). The box will not appear if the new start date is less than the start date for the previously open status (i.e. for inserting past statuses).
