New Reports

Address by Zip Code

Report will display Name, DOB , FID , and Role in Household, Full Address, Address Type, Start Date of Address, and End Date of Address.  Groups by Zip Code , sub-groups by FID.

Children Insurance Type (Current)

This report is based on the Children Insurance Type report, but only shows insurance records that have an effective date entered and no expiration date. 

Disability Referral - Elapsed time from Referral to Identification

Report will display a listing of children that have been referred for Disability evaluation and display the number of days it has taken for the evaluation to be completed.

Report will only display children that have a Status of Referral Made.

Report will display Child First Name, Last Name, DOB, Disability, Referral Agency, Referral Date, Identified Date, Length Disability: Display 'Disability' where Status = Referral Made Referral Agency: Display 'Other Agency' where Status = Referral Made Referral Date: Display 'Date' where Status = Referral Made Identified Date: Display 'Date' where Status = Identified ** or Identified & IEP received ** or Identified & IFSP received **, Length: display Identified date - Referral Date. If there is NO Identified date, report will display Today's date - Referral Date. If there are more than two Referral Made or Identified status records on the same Disability, display the earliest record.

USDA/CACFP Approved Centers

Report will show those centers with 'USDA/CACFP Approved Center' checkbox checked in Center Licensing

Updated so that the "remove" function will give users the option to 1. Remove individual family members or 2. Remove the entire family.

Prioritization

Enhancement for EHS: In the line that says Eligibility Date. Added a Radio Button to allow user to select either

a) 'By Program Age' (have the Date Box associated with Program Age),  or

b) 'By Actual Age'. If this  is selected, then child's age is determine as of Current Date Prioritization is run.

Personal Settings

Added ability to add multiple staff and service providers to Quick lists.

Added My Hot Reports to Personal Settings.

Family Demographics

PROMIS Application History: Gain more control and greater Flexibility and Accuracy with PROMIS Application History.

When a family submits an Application for Head Start, the Family Members will be associated with the specific Application Date. For Example:

On 8/1/2007, Mom submits an Application and her family consists of: Mom, and Eligible Child. Then one year later, on 12/1/2008, Mom submits a new Application and her family situation has changed to: Mom and two Eligible Children ( is no longer part of the family).

PROMIS will now be able to track these differences automatically. So if the PIR is pulled for 2007, it will recognize that the Family consisted of: Mom, and Eligible Child. Or if the PIR was pulled for 2008, it will recognize that the Family consisted of: Mom and two Eligible Children

Based on Application Date selected (circled below), Family Members change.

Family Members

Enhanced logic for when saving Address information and Family Member is not selected.

Ability to upload Pictures Images to Family, Staff and Volunteer Screens. Image must be 50 kb or less

Ability to link and store Child Electronic Files with scanned files via linking to your FTP site. In order for this to work, your Agency must establish an FTP Server. If you agency wishes to store Scanned Documents (ex. Child Electronic Files) on the PROMIS Servers, this can be done as well. Please call for pricing.

Family Information

Date Intake Completed is left blank. Data Entry Date will auto-populate with current date. This will be a 'Read Only' field.

If Head of household is blank in Family Info, then "Not Selected " will be displayed in HoH.

Added "This person is authorized to Pick up and Drop off Children" No, Yes, N/A to the Adult Information screen.

This Person's Relationship to Other Family Members:  Added two columns called: 'Authorized to Pickup Child' and 'No Contact Allowed'.  Added questions to Form 1.

Income

Income Verification date will auto-populate with date from “Date Intake Completed” (from Family Information).

Form 1

Updated to properly display Ethnicity.

Form 3

Updated to display past 12 or 24 months of employment, based on date Family Application was completed.

Updated to properly display items from Income Verification.

Current Medical Provider will display where Medical Provider = Doctor  and Effective date is equal to or less than today and End Date is null or greater than today.

Adjusted logic to: If Insurance Type is null, then Form 5 should have a check in 'No Insurance', otherwise will be unchecked. Will only look at most recent Medical Insurance record where Primary Insurance = yes, Effective Date is prior to today AND Insurance End date is null or greater than today. 

My Case Notes

Enhanced Filter Settings:

'Show Case Notes for:' to display check boxes for each family members (that has a Case Note). If no member is selected, all notes will be displayed. If one family member is selected, Case Notes will be displayed for selected family member.

'Show Case Note Types:' to display check boxes for Case Note Types. Based on items checked, those Case Note types are displayed.

Program Enrollment

Automation

When a child’s Program = Head Start or Migrant Head Start and a new status of Transitioned is saved, user will receive a warning message and, if approved, PROMIS will change child's member type from Eligible Child to Family Member.

When child receives status of Dropped Out, Transition/Graduated or Application Withdrawn, they will be removed from all current Bus Routes.

ASDT Directory

Adjusted logic in ASDT Directory Filter to more accurately reflect choices made in “Select Family Member”.

If there is a Date in 'Follow-up Date', then will display ‘Follow-up by whom’ and Staff select button and Staff Quicklist. User will be given option to assign a Task to the ‘Follow-up by whom’ person.

If there is a Date in 'Referral Date', then will display ‘Referral to whom’ and Staff select button and Staff Quicklist. User will be given option to assign a Task to the ‘Referral to whom’ person.

Mental Health

In section: Result of Staff Review, changed: 'Refer to Developmental Assessment' to 'Refer for Assessment'.

If 'Refer to Assessment' is selected, changed 'Developmental Assessment Due by' to 'Assessment Due by' and changed 'Staff in charge of Developmental Assessment' to 'Staff in charge of Assessment'.

Oral Health

Under Dental Services Received: Preventative Services Received -  added: Sealants

Class/Caseload

In the ‘Number of Participants’ Column, will now display x/y, where x is the number of children enrolled and y is the number of funded slots. This will be based on data in Class/Caseload information screen.

Added to Participants screen four new columns to track child Developmental Screening and Assessments. If a child has a Screening/Assessment, where the Result = Service Completed, then date will be displayed.

Participant Screen --> Participant Sign-in sheet: Absence Code Reason‎ have been adjusted to pull from your Agency’s customized Picklist.

Class Participants:

Added the Weekly Attendance and Meals Form. This form is the Attendance and Meals Form available on the PROMIS Home page Blank Forms section.

Updated Class Participants to display Child Date of Birth.

Groups

Enhanced Group Screen for adding an Event and selecting Participants.

Additional Enhancement to Groups Section. More areas to enter: Dental Exam, Physical Exam, Medical Insurance and Mental Health have been added. Additional flexibility when selecting which participants to add, you may now add all children in a particular class.

When adding a Service item, adjusted General and Detail Categories so that they are linked. Now based on the General Category that is selected, user will see the related Detail Categories.

When Group Type = Staff : Added options for “Select how to add participants”:            

  • Participant in a Previous Event
  • Browse using Staff Search Screen

Transportation

In previous version, in order to assign a Bus Driver, the Staff person must have as their position. This is no longer a requirement. Any Staff person can be assigned as a Bus Driver.

Bus Information: Adjusted “Specify Disability Requirements” so that comments can be made.

Bus Route: Added numbers to display the number of children assigned to route and bus capacity:

For Weekly Seating in Bus Routes, if Pick-up or Drop-off address is changed or edited, the information will be updated.

Staff

When Staff Member gets an Employment End Date, PROMIS will ask if they are no longer employed with the Agency, and if Yes, will de-activate their access to PROMIS.

Added Staff PID to 'Staff Standard Search' screen

Enhanced Staff Demographics. If a Staff member was a former Head Start Parent, their Demographic Information can be edited in either Staff or Family area.

Resources

Resource Filter: Adjusted location of “Clear Fields” and Search buttons.

Letter Label Templates: when user creates a template user has the option to make the template

Organizational Structure

Center Details: Center Licensing: Added a new check box for “USDA/CACFP Approved Center”. This box must be checked for all California USDA/CACFP Reimbursement reports to function correctly.

Default Immunization Schedule: Adjusted logic to ensure that all new children that are added to PROMIS are assigned the Default Immunization Schedule as selected in Grantee Details.

System Settings

Added to Family Demographics: 'Display SSN in Family Browser Results', with choices of Yes and No. default to Yes. If Yes is chosen, then will display SSN column in Family Browser results. If No, then will hide SSN column in Family Browser results.

Immunization Customization: Adjusted for greater ease of updating a new schedule.

EPSDT

Added the ability to manually override required procedures on the EPSDT Screen.

  • This can be done by placing your mouse in the box of a required procedure (X or O) or a Red or Yellow Flag and clicking on the highlighted purple area.
  • A message will appear that says “Check here to manually override this procedure”. Place a check in the box and click save.

                            

  • The procedure will now be disabled and show a icon instead of the X,O, or flag.

  • The manually overridden procedure will not show flags and will no longer display on EPSDT Reports

Added the ability to add 6 and 7 year old periods to the EPSDT Schedules Screen in Custom Builders.

Data Utilities

HSFIS to PROMIS conversion, Allergies and Medication, Medical conditions from Physical Exam screen in HSFIS will be added to General Health screen in PROMIS

Insert End Date into “Open Statuses”: Insert End Date will allow programs to insert an “End Date” into multiple statuses at once.

PIR Details

Will show you your children and where they were counted. No longer will you need to have Excel Spreadsheets for tracking PIR Results.

View by : Adjusted Report to accurately reflect Filter Setting Choices.

Added Blue PIR Asterisks (and made the following changes to) to the following locations:

  • Family Development: Has Received or is Receiving Services. Changed 'Other - satisfies PIR C9b' to 'Other - satisfies PIR C9b**'

C1 and C2 – adjusted to not count children where No Coverage is selected

Enhanced Logic to accurately count children that had a Disability and No Longer Qualify for this Disability.

  • If 'No Longer Qualifies' date is Prior to child's earliest enrolled start date in current program year, then do not count. Else count child with disability.

C26.b uses below logic.

  • If 'No Longer Qualifies' date is Prior to child's earliest enrolled start date in current program year, then do not count. Else count child with disability.

C27a. Adjusted PIR Logic: if Program Type = Early Head Start (in Ad Hoc PIR Request), then will only count where Development Plan Type = IFSP. If Program Type = Head Start (in Ad Hoc PIR Request), then will only count where Development Plan Type = IEP.

C26-C30. If Program Type = Head Start (in Ad Hoc PIR Request), then will not count child where Disability = IFSP - At Risk, IFSP - Developmental Delay or IFSP - High Risk. These are Disabilities that are for children in EHS.

C41 and C42 adjusted logic so that if adult is working/in school there are counted in multiple locations (as required in the PIR):

‘In School full-time and employed part-time’ is selected, we count person in C41a (i) or (ii) or C41b(i) and in C42a (i) or (ii) or C42b(i).

‘Employed full-time and School part-time’ is selected, we count person in C41a (i) or (ii) or C41b(i) and in C42a (i) or (ii) or C42b(i)

PIR Questions: C39, 40, C44, C45, C48, C51 – 53

Enhance logic to pull information from the correct Family Application, using the following logic:

  • Find the child’s earliest enrolled start date in current program year (for requested location)
  • Go backwards in time to find the most recent Application Date (basically we are finding closest application date, that is PRIOR to child’s earliest start date in current program year for requested location)

When C56 = Yes, calculate # of children in C56a. Children are calculated by including children counted in A14 (enrolled children) and a count of those who have/had been assigned to a bus route while enrolled. Will look at Transportation à Bus Route à Weekly Seating to find children. Will only count child once (even if they are assigned to multiple routes).

Reverse PIR

Added Exclamation for A14. Exclamation = Total Potential - A14.

Total Potential People = Any person with an Enrolled Status with a Start Date between PIR Start (A1a) and End Date (A1b) where Location is the same as Location in PIR Ad Hoc Request.

Added reverse PIR to C9b. C9b = C9a - C9b

Adjusted Reverse PIR for C18, C19, C33. It will only show Exclamation where PIR Ad Hoc Request is for Early Head Start or Migrant Head Start.

Class Session Management

Adjusted to ensure that all Class Session End dates are equal to or prior to Class Session End Date when ending Status for multiple children.

Adjusted to enhance for greater efficiency. PROMIS Admin will no longer have to individually adjust and select each class session. System will alert if a Class Session was already created

Children Enrolled Less than 45 Days: Report will display children where sum of all Enrolled Dates is 45 days or less.

 

Over Income - Eligibility Income for CACFP. Report will list the most recent Family Income where Approved for USDA = yes and child is enrolled in an USDA/CACFP Approved Centers (see above).

 

PROMIS Picklist: A list of all picklist and picklist choices in your PROMIS database.

Well-Child Care (EPSDT) Summary Report: Report will summarize child EPSDT information.

 

USDA/CACFP Approved Centers: report is based off of report Center Licensing and will show those centers with  'USDA/CACFP Approved Center' checkbox checked in Center Licensing,

Streamlined report generation by:

a)      Removing ‘extra’ summary page.

b)      Adding ‘Current as of today’ for Status Dates. This option will allow the user to more effectively use the ‘Add To My Saved Filter’ feature. If you choose ‘Current as of today’ and save the report filter, then when you run the report it use the current date (as opposed to a fixed date when the report filter was initially saved).

c)      Allowing user to save Report Filter Settings.

 

 

Select the ‘Add to My Saved Filter’ to save the Filter Choices (Enrolled Statuses, Current as of, Home Visit Types and Date Range) made for the report.

 

To view a report with the saved settings, click View in the My Saved Filter column.

New item "Data Utilities: Data Mapping Rules for PIR and Performance Indicators" in user screen access right. User is now able to be given/removed access to Data Mapping Rules for PIR.

 

Data Utilities: Program Information Report: Updated Security Access Logic to allow User Restricted or Unrestricted Read to PIR. User will only see PIR Scheduler. The only active link is the ‘Log’. After clicking on the PIR Log, user will only have read only access to PIR, the Delete column is hidden from view.

General Settings

New setting to System Admin: System Settings. Program Enrollment Business Rule:

If child already has a record in Head Start or Migrant Head Start, then 'Join New Program' link is hidden. The link will not be hidden if child has ONLY Early Head Start. If No is chosen, then the link 'Join New Program’ is displayed.

This rule will default to On. User may switch to Off.

PIR Scheduler and Download:

When generating PIR and Program Type in PIR Ad Hoc Request = Early Head Start, then file extension is ‘.200’. This will allow Agency to properly export their PIR data for Xtria.

 

PIR Data Export Log: Only allow users access to PIRs that they have Organizational Access rights to. Check that user has Organizational Access to all items in 'Selected Agency/Center' (as identified in PIR Ad-Hoc Report List).

 

User is able to delete PIR Data Export records, if they have access to them.

 

Adjusted PIR to look at who was enrolled and not just their Member Type. Now if an Eligible Child has Member Type changed to Other Family Member, they will be counted in the PIR.

 


Adjusted PIR to look at Attendance record for children. If all of attendance records are Absent (excused or unexcused), then child is not included in PIR.

Highlights:
