New Reports

 

All Lead Tests Completed: Report based on the report called "Lead Testing Results". Report displays all test record dates listed in the Lead Medical Test.

 

Children without Home Visit by Type and Date Range

Allow user to choose from picklist of 'Visit Type' and Date Range.

Report will show children who do not have a chosen ‘Visit Type’ within the specified Date range.

 

Child Detailed General Health: Report includes information from Child General Health. Also includes a signature line at the bottom for ‘Involved Parties’ Parent, Head Start Staff, and Other Agency

 

EPSDT Related Reports:

Children with Missing EPSDT Well-Child Care - By Center and Class: Will show children that are missing items. Grouped by Center and Class.

Data Request

Added ‘Auto Email’ feature to the Data Request Queue. When a Data Request is made, the User who is in the System Administrator Group will receive an email containing the following text: ‘Dear John Smith, A new family data request just arrived for your approval.  As of today, August 15, 2008, there are 7 data request(s) in your queue waiting for your approval. *** Note: This email came from an auto emailing feature in PROMIS. Do not reply to this email since it is unattended.’

Personal Settings

Updated ‘My Screen Access Rights’ so user can see detailed descriptions of the level below Data Management: Data Utilities.

 

Added ability to choose to see/hide the ‘Show this person’s relationship to other people’ on family member demographics page.

 

Zipcode is no longer a required field. It may be left blank, or have 3 of 5 numbers entered.

 

Family Demographics

BETA - EPSDT – Ability to view and track EPSDT for children. See the required Screenings, etc for your children ‘At-a-Glance.’ See EPSDT per child or per classroom/caseload. See which children are uptodate, past due or needing screenings. Additional New EPSDT Reports.

 

Family Information

Changed the wording from "Homeless in the Past 12 Months? " to "Was the Family homeless at any point during the enrollment year?*"

Enhanced in preparation for EPSDT. Renamed to Medical Services. Some EPSDT require that the child be Screened, others require that the child be Tested. Use the new format to record Screenings, Tests and Services Received in one centralized location.

Oral Health

Oral Health Summary Screen. Added columns of Needs Preventative, Needs Treatment, Received Preventative, Received Treatment.

If ‘Preventative Services ‘ is selected, show Yes in Needs Preventative column.

If ‘Medical Treatment ‘ is selected, show Yes in Needs Treatment column.

If ‘Preventative Services Received‘ is selected, show Yes in Received Preventative column.

Physical Exam

Enhanced in preparation for EPSDT. Additional areas have been added to the Physical Exam to coordinate with EPSDT. If your state does not require these additional areas, they may be ‘hidden’ from view in the System Administration by going to ‘View/Edit System Functions’ à System Settings à Physical Exam. Individual Family Partnership Agreement

System Administration

Organizational Structure

Allow User to create Program Sessions at Direct Service level. Previously only Grantee and Delegate Agency were able to create Program Sessions.

User Account Management

New item "Data Utilities: Data Mapping Rules for PIR and Performance Indicators" in user screen access right. User is now able to be given/removed access to Data Mapping Rules for PIR.

 

Data Utilities: Program Information Report: Updated Security Access Logic to allow User Restricted or Unrestricted Read to PIR. User will only see PIR Scheduler. The only active link is the ‘Log’. After clicking on the PIR Log, user will only have read only access to PIR, the Delete column is hidden from view.

General Settings

New setting to System Admin: System Settings. Program Enrollment Business Rule:

If child already has a record in Head Start or Migrant Head Start, then 'Join New Program' link is hidden. The link will not be hidden if child has ONLY Early Head Start. If No is chosen, then the link 'Join New Program’ is displayed.

This rule will default to On. User may switch to Off.

 

Standard Picklist

Module=Demographics: Hide Picklist choices of ‘Member Type’ and Special Income Verification’.

Non-Standard Picklist

USDA Guidelines: Added in 2008 Rates.

 

Data Doctor

Move center(s) to other delegate or direct service. PROMIS will now provide confirmation a message upon successful move: 'Center xxx has been moved from 111 to 222.'

 

PIR Enhancements

 

PIR Data Mapping:

Added Data Mapping for C43.

 

PIR Scheduler and Download:

When generating PIR and Program Type in PIR Ad Hoc Request = Early Head Start, then file extension is ‘.200’. This will allow Agency to properly export their PIR data for Xtria.

 

PIR Data Export Log: Only allow users access to PIRs that they have Organizational Access rights to. Check that user has Organizational Access to all items in 'Selected Agency/Center' (as identified in PIR Ad-Hoc Report List).

 

User is able to delete PIR Data Export records, if they have access to them.

 

Adjusted PIR to look at who was enrolled and not just their Member Type. Now if an Eligible Child has Member Type changed to Other Family Member, they will be counted in the PIR.

 


Adjusted PIR to look at Attendance record for children. If all of attendance records are Absent (excused or unexcused), then child is not included in PIR.

 

In the View by IE PIR Window, added a left hand column with a count of children.

Highlights:

- Major PIR Enhancements such as having the ability to run the PIR for a specific location.
If PIR is run for a specific Center, the PIR will report only on services received while the child was enrolled in that specific center.

- Added new CDC 2008 Schedule and CDC 2008 At Risk Schedule.

- New Report Image feature in the Report Directory. Users can now click on an icon and see example of a completed report.

When user chooses any Enrollment Status, PROMIS will automatically fill in the Eligibility Type. This is based on the Income selected as the Eligibility Income and the Income Sources.

“Enrolled although over income and no public assistance” IF current eligibility income is greater than Poverty Guidelines AND current Eligibility Income (check the Income Source is less than or greater than Public Assistance).

“Enrolled due to over income and disability” IF current eligibility income is greater than PG AND child has Disability = Identified, Identified with IEP or Identified with IFSP. This Type takes priority over the other ‘Over Income’ Status.

“Enrolled based on receipt of public assistance” IF current Eligibility Income (check the Income Source = Public Assistance).

“Enrolled based on receipt low income eligibility” IF current eligibility income is less than PG.

“Enrolled due to status as a foster child” IF current Eligibility Income (check the Income Source = Foster Care/Adoption Subsidy).

Health: Insurance Provider
Added a red asterisk to the effective date field

If Disability in Disabilities screen = IFSP – At risk, or IFSP – Developmental Delay or IFSP – High Risk, these are not added to Services screen (since they relate to EHS children)

2. When adding new Child Development Plan, (coming from Disabilities Services screen):
If Disability Screen Status = Identified, Identified and IEP received, or Identified and IFSP received, then make Child Development Plan Form Date = Status Date (from Disability Screen)
If Disability Screen Status = Identified Disability, then make Child Development Plan: Plan Type = IEP

When entering a new Oral Health Form and child has an active Medical Provider = Dentist, PROMIS will automatically insert Provider (or Contact) name (from Medical Provider) into Oral Health Form, Medical Provider.

Physical Exam
When entering a new Physical Exam Form and child has active Medical Provider = Doctor, PROMIS will automatically insert Provider (or Contact) name (from Medical Provider) into Physical Exam Form, 'Completed by Provider'.

Attendance Screen
Add a '#' column on left side of Attendance screen.

Adjusted logic to ensure that children marked as 5th Year Enrollment are reenrolled as 6th Year Enrollment, if user chooses to Automatically Increase Enrollment Record

When a staff member is given an end date for employment, user is prompted with:
"You have ended the staff's current position. Do you also wish to remove the staff's PROMIS access?"
If user chooses Yes, then Staff User Access = Inactive. and message is displayed: "xxxx's PROMIS Access has been Deactivated."
If user chooses No, then no changes are made to Staff User Access.

Resources and Health Screens
In the Service Provider Details screen added option "Agency operates as an:":

If a Service Provider is selected for Child--Health: Medical Provider and if Service Provider Details has "Agency operates as an:" Indian Health Service Center, then automatically place a check in Child--Health: Medical Provider -- Receive services through Indian Health Center.

The Task Manager and certain PROMIS Screens have been enhanced to add to your Task Manager.
When ‘Follow-up Needed’ or ‘Next Review’ date is entered on these screens, A New Task will be
added to the Task Manager.

Family Search Screen

Demographics
Added Puerto Rico as a state to picklist

When adding a new family, allow user to copy specific information from a pre-existing family member.
"When adding a new family member to an existing family you may select to copy from an already existing
family member the following information: Race, PIR A21, Ethnicity, Primary Language, Secondary
Language, English Fluency."

Income:
Updated Income screen to display information ‘As of the Income Collection Date’ AND ‘As of Today’s
Date’, so that Programs can see a Family’s status:
1. When their Income was collected and
2. What their status is today.

Income Verification
This item has been corrected: When user clicks on Edit for 'Income Verification', PROMIS was not
keeping the date that was previously entered.

Program Enrollment

'Program Eligibility Income'
Automatically populate the 'Program Eligibility Income' for a Family Member. Only after the 1st new status
is entered in the Program Enrollment screen. These steps are not performed if child already has a Status.

If Program Eligibility Income = empty, then choose most recent Family Income (where Family Income date
is less than or equal to Program Enrollment Status Start Date). Set Program Eligibility Income: Current =
Yes and set Program Eligibility Income: Date = Family Income Date

Case Notes
Case Notes can now be viewed by any person who has access to the Family’s record.

Health

Disability Services
Fixed display issue that prevented ‘Involved Parties’ from displaying properly.
Fixed error where when user selected Identified Disability and entered IEP, the Identified status would not
save correctly.

Growth Charts
From the Family Browser, user can select multiple children and display their Growth Charts

Immunizations
Add java check to check that no Dose Date is greater than current date (present date). If date is in the
future display message. ‘You are not allowed to enter a date in the future. Please correct.’

Add java check to check that Dose Date is greater than previous Dose Date. If date is less than or equal
to previous date, display message. ‘Please check the date, it is earlier than the previous date.’

Medical Insurance Provider
Made the Insurance Effective Date required.
Added check upon exiting Expiration Date, that Insurance Expiration date is null or after Insurance
Effective date.
Insurance Type Picklist }Add double asterisks after 'other health insurance'.
If 'Other Health Insurance' is selected, then a comments box is displayed.

Mental Health
Result of Staff Review: If ‘Reassess’ is selected, choices have been added to track:
1) “Reassessment Due by” (to collect date)
